Collection of Information

You provide us with a large amount of personal information in order to complete your tax returns, contact you and to consult with you on tax and financial issues. This information includes but is not limited to the following:

Personal data

  • Name and date of birth
  • Social Insurance number (SIN)
  • Address
  • Telephone number(s)
  • Marital status (including name and date of birth of spouse/partner)
  • Dependant(s) (including name and dates of birth)
  • Who provides day-care for your dependants
  • Tuition fees and location of institution for yourself or dependants
  • Employment status and income
  • Pension and banking information
  • Social benefits and tax credits received

Medical Data

  • Prescriptions
  • Dental visits
  • Amounts spent for medical procedures
  • Eye care
  • Insurance coverage

Business Data

  • Revenue data
  • Client lists
  • Vendor lists
  • Profitability
  • Rental properties and name, address and SIN of partners in such ventures

Warranty

Where you provide us with information relating to third parties such as dependants over the age of 18 or business partners, you warrant to us that you have the consent of such third parties to disclose the information to us.

Storage of Information

We recognise the extent of the knowledge conferred by the confidential information you provide to us (the “Information”) and that this Information is of vital importance to you. This places a significant duty of care on us to ensure proper procedures are in place to safeguard the Information. We store the majority of the Information in electronic format on computers secured by passwords and in premises secured by alarm systems. Wireless communication in our offices is guarded by Cisco Firewalls making interception of the Information impossible. The only Information we store in paper form are copies of letters addressed to you and these contain your name and address and may refer to a particular year’s refund or balance owing. Copies of signed T183 must be retained by us on file and these include your income. These are held in a locked file cabinet inside locked premises secured by alarms.We do not keep or store any of your returns or information slips in paper form. These are all returned to you for safekeeping and may be destroyed by you (burning or shredding is advised) after seven (7) years.

Use of Information

We use the Information only for preparation of your tax return. We also use the Information (where you have authorised us to do so by form T1013 or RC59) to discuss your return with agents of Canada Revenue Agency who identify themselves by badge number. The Information is used by us to address correspondence to you or to telephone you with regard to your tax return. The Information is not used for any other purpose.We do not allow any third party to gain access to the Information for any purpose. We do not sell names and addresses for marketing purposes. The only way in which a third party may access the Information is by order of a court of competent jurisdiction. We do not discuss your affairs or Information with any other third party – nor do we discuss theirs with you.
